JOB TITLE: Medical Administrative Assistant
JOB DESCRIPTION SUMMARY:
We have an immediate opening for a Medical Administrative Assistant in a growing, private, medical psychiatric office. The chief function is to carry out the daily administrative functions within a medical practice so that staff and facilities are supported and operating optimally and efficiently.
This candidate must love to take charge of a project from beginning to end, approach work with a high level of conscientiousness, be thoughtful and thorough, have high standards, and relish the opportunity to support a growing medical practice. The role provides a great learning opportunity for someone interested in understanding the systems of running a medical doctor’s office.
Dr. Kittay’s office is well-organized, efficiently maintained, upscale, warm, and welcoming in order to provide our patients with optimal care. Our patients give us much positive feedback. Our philosophy is to provide everyone with a pleasant, caring, calm, office environment.
We are located in an upscale Victorian Professional Building in Fall River, MA; one block from Charlton Hospital.
PRIMARY RESPONSIBILITIES:
- Manage the daily administrative functions in a Doctor’s office including: managing medical office management software, patient care protocol, bookkeeping, purchasing, phone system, e-mail, record maintenance and mail services.
- Manage patient services including: insurance claims, billing statements, patient forms, files, patient care, HIPPA regulations, website use, waiting room comfort, and phone system.
- Manage Doctor’s calendar and related correspondence, meeting schedule, CMEs, and travel arrangements.
- Draft documents, forms, and correspondence. Prepare reports and do proofreading.
- Oversee internal and external business meeting coordination and project support (i.e. agenda, meeting time & place)
- Track monthly accounting reports and backup information on CD/ Drive for taxes and prepare for Bookkeeper.
- Identify areas of improvement in office management and develop and implementation of action plans.
- Work with Doctor to maintain compliance of HIPPA laws.
- Coordinate office and waiting room maintenance and service requests.
- Control, monitor, and order office supplies and communicate with vendors.
- Arrange for maintenance and repair of office equipment.
PERSONNEL:
- Train and support new doctors and staff in office procedures and Medical Management Software
- Train and support doctors and/or staff in Electronic Health Records.
- Perform other duties as required by the organization and management.
SKILLS:
The Medical Administrator Assistant needs to possess the following:
- High proficiency in the use of technology as we are just about paperless. We use an integrated office management software/Internet based program to manage all aspects of the office including: Electronic Health Records/scripts/pharmacy/fax; accounting, billing statements, scheduling, caller reminder, etc. So you must love using your computer!
- Knowledge in desktop publishing software for the management of, word processing, spreadsheet and database management software applications.
- Strong ability in: Microsoft Office: Word, Excel, Outlook, PowerPoint, and Publisher.
- Possess strong written and verbal communication skills, in order to deal with patients, doctors and liaison with medical personnel. This includes e-mail, letter writing, cell phone usage (speaking and programming) and telephone etiquette. Executive assistant must enjoy working with patients, medical personnel and possess professional interpersonal skills.
- Organized, neat, professional, courteous, and flexible.
- Ability to multi-task, analyze, prioritize, and think.
- Capable of following instructions given to her by physicians, as a member of a team or alone.
- Enjoys personal growth and pursuit of excellence of self and company.

EDUCATION:
Candidate must possess an Associate or Bachelor’s Degree in Medical Office Administration or Medical Executive Assistant: with an emphasis on courses in Medical office procedures, communications, business, and technology.
Background and/or experience in the medical field.
Position will begin at 25 hours a week at $18 per hour; subject to a 3 month review with raise. There will be a one month trial period.
